About the job

We are hiring 3 Bid & Proposal Specialists to own the full bid lifecycle: finding the right opportunities, analyzing the requirements, preparing compliant offer packages, and submitting them on time.

Duties & responsibilities

1.  SOURCING   —   Find the bid. Own the pipeline.

•  Monitor portals daily: Search SAM.gov, UNGM, Devex, GSA eBuy, state procurement and agency procurement portals for relevant solicitations

•  Manage the pipeline: Maintain an opportunity tracker capturing solicitation number, agency, deadline, value estimate, and go/no-go status; distribute daily/weekly summaries to the team

•  Organize documents: Download and file solicitation documents (RFQ, SOW, amendments, attachments) and track amendments for changes in requirements or deadlines

•  Research targets: Study agency buying patterns and historical awards to improve targeting

2.  ANALYZING   —   Read the requirements. Know the rules. 

•  Review solicitations: Analyze RFQs, SOWs, SF18, SF1449, and amendments for key requirements, evaluation criteria, and mandatory clauses

•  Extract key data: Document solicitation number, agency, CO contact, delivery requirements, submission deadline, and evaluation factors

•  Make the go/no-go call: Assess product availability, price competitiveness, and regulatory compliance risk for each opportunity

•  Complete compliance checklists: Apply the standard Asara Global QC to every active bid

3.  PREPARING   —   Source the product. Price it right. Build the package.

•  Source suppliers: Identify domestic and international suppliers based on part numbers, brand names, and salient characteristics listed in RFQs

•  Secure quotes: Solicit and negotiate supplier quotes — verify pricing, lead times, shipping terms (FOB Destination), country of origin, and warranty

•  Build the offer package: Use the Asara Global standard templates to develop bid package

•  Complete certifications: Prepare relevant certification required for the bid, product data sheets, capability statements, and other required attachments 

4.  BID SUBMISSION   —   Check it twice. Submit on time. Track the win.

•  Final quality review: Verify solicitation numbers, agency names, CO details, pricing, and clause certifications before release

•  Close the gaps: Flag and resolve missing or unverifiable data (e.g., missing COO, unconfirmed supplier pricing, incomplete certificates)

•  Submit on deadline: Upload or submit final packages through email, or other required portals before the stated cutoff time

•  Keep records: Maintain organized records of supplier quotes, submitted offers, and award outcomes, plus a library of reusable compliance language, certifications, and representations

Job requirements

WHAT WE ARE LOOKING FOR

•  Familiarity with procurement portals — SAM.gov, UNGM, GSA eBuy (training provided)

•  Strong analytical reading skills in English — able to interpret dense regulatory text and accurately extract key bid fields

•  Knowledge federal and commercial item acquisitions is a significant advantage

•  Experience sourcing commercial products — locating suppliers, comparing pricing, and negotiating terms

•  Strong written English — able to produce professional, government-ready bid documents

•  High mathematical accuracy and attention to detail — pricing and compliance errors directly affect award eligibility

•  Organized, self-directed, and resourceful — able to handle high volumes and hard federal deadlines under time pressure

•  Proficient in AI Tools, Microsoft Word (document formatting) and Excel or Google Sheets

•  Experience government contracting, procurement, or compliance review preferred; brand-name-or-equal and sole-source experience is a plus

This is a fully remote position. You must provide:

•  Personal laptop or desktop computer — Windows or Mac, capable of running Microsoft Office 365

•  Microsoft Office 365 (Word, Excel, Outlook)

•  Reliable internet connection — stable enough for video calls and file uploads

•  Dedicated, quiet workspace suitable for professional video calls
