This is a hands-on, sole-charge role. The Finance & Accounting Manager is personally responsible for all finance and accounting activities, including day-to-day bookkeeping and data entry, through to financial statements and management reporting. The ideal candidate has strong practical experience in Zoho Books, financial reporting, budgeting, bank reconciliation, and Microsoft Excel.

Duties & responsibilities

Bookkeeping and Daily Accounting

            •          Perform all day-to-day bookkeeping in Zoho Books, including recording sales, purchases, expenses, and journal entries.

            •          Enter and categorize all transactions accurately and on a timely basis; keep the books current at all times.

            •          Issue customer invoices, record deposits and payments, and follow up on outstanding receivables.

            •          Process and record supplier bills, vehicle purchases, parts, subcontractor invoices, and operating expenses.

            •          Manage accounts payable and accounts receivable, and maintain the general ledger and chart of accounts.

            •          Organize and file digital receipts, invoices, and supporting documentation.

Reporting and Analysis

            •          Prepare monthly, quarterly, and annual financial statements and management reports.

            •          Track vehicle-level cost and gross profit, including reconditioning, transport, and export costs.

            •          Maintain cash-flow records and prepare regular cash-flow forecasts.

            •          Prepare and monitor annual and departmental budgets; report significant variances.

            •          Support management with financial analysis and decision-making.

Compliance and Controls

            •          Prepare HST filings and supporting schedules; coordinate corporate tax filings with the company’s external accountant in Canada.

            •          Maintain payroll records and remittance schedules in coordination with Canadian management and the external accountant.

            •          Maintain financial documentation, filing systems, and audit trails that meet OMVIC and MVDA record-keeping requirements.

            •          Support FINTRAC compliance, including large cash transaction records and reporting obligations.

            •          Establish and maintain effective internal financial controls appropriate to a small business.

            •          Assist with internal and external audits and OMVIC inspections by preparing all required records.

            •          Perform other finance-related duties assigned by senior management.

Job requirements

            •          Master’s Degree/MBA in Finance, Accounting, Business Administration, or a closely related field is preferred.

            •          A Bachelor’s Degree (BBA) in Accounting, Finance, or Business Administration may also be considered based on relevant professional experience.

            •          Minimum 5 years of relevant professional experience in accounting and finance, preferably with private-sector or project-based organizations.
