About the job

The Salesperson will be responsible for developing and maintaining customer relationships, promoting and selling Shahana Pharma's baby cereals, infant milk formula, baby food, and related consumer products, and expanding the company's retail and wholesale customer network.

The Salesperson will primarily focus on pharmacies, baby shops, supermarkets, grocery stores, mother & baby stores, wholesalers, and retail distributors.

The position will contribute directly to achieving sales targets, developing new customers, increasing product availability, collecting market information, and supporting the company's expansion in Kabul and other assigned areas.

Duties & responsibilities

1. Position Purpose

The Salesperson will be responsible for developing and maintaining customer relationships, promoting and selling Shahana Pharma's baby cereals, infant milk formula, baby food, and related consumer products, and expanding the company's retail and wholesale customer network.

The Salesperson will primarily focus on pharmacies, baby shops, supermarkets, grocery stores, mother & baby stores, wholesalers, and retail distributors.

The position will contribute directly to achieving sales targets, developing new customers, increasing product availability, collecting market information, and supporting the company's expansion in Kabul and other assigned areas.

2. Main Products

The Salesperson will primarily promote and sell:

• Baby cereals

• Infant milk formula

• Baby food

• Related consumer products

• Other products assigned by management

All product information and promotional activities must follow company-approved materials and applicable requirements.

3. Main Customer Groups

The Salesperson will develop and maintain relationships with:

• Pharmacies

• Baby shops

• Mother & baby stores

• Supermarkets

• Grocery stores

• Wholesalers

• Retail distributors

• Other approved commercial customers

4. Key Responsibilities

A. Sales & Business Development

1. Visit assigned customers regularly according to the approved sales plan.

2. Introduce and promote the company's products to potential customers.

3. Generate new sales opportunities.

4. Develop new pharmacies, baby shops, supermarkets, wholesalers, and retail outlets.

5. Maintain professional relationships with existing customers.

6. Present product information and approved promotional materials to customers.

7. Receive customer orders accurately.

8. Follow up on pending orders.

9. Identify opportunities to increase product availability and sales.

10. Achieve assigned monthly and quarterly sales targets.

11. Support the launch of new products and promotional activities.

12. Maintain regular communication with key customers.
B. Customer Relationship Management

1. Maintain an updated list of assigned customers.

2. Understand customer requirements and purchasing patterns.

3. Follow up with customers regarding orders, deliveries, availability, and product requirements.

4. Respond professionally to customer inquiries.

5. Identify customer complaints and coordinate with the appropriate department for resolution.

6. Maintain professional and respectful relationships with customers.

7. Identify inactive customers and develop appropriate follow-up plans.

C. Market Development

1. Identify new potential customers and sales outlets.

2. Monitor product availability in the market.

3. Collect information about market demand.

4. Monitor competitor products and prices.

5. Report market trends and customer feedback to the Country Manager.

6. Identify opportunities for expanding sales coverage.

7. Provide feedback regarding customer preferences and product demand.

8. Monitor changes in retail and wholesale market conditions.

D. Sales Orders & Coordination

1. Prepare and submit customer orders accurately.

2. Coordinate customer orders with the Warehouse Officer.

3. Confirm product availability before committing to customers.

4. Coordinate with the Finance Officer regarding customer credit and outstanding balances.

5. Follow the company's approved sales and invoicing procedures.

6. Coordinate with the Delivery Team to ensure timely delivery.

7. Follow up on incomplete, rejected, or pending deliveries.

8. Ensure customer orders are properly documented.

E. Collection & Credit Follow-Up

1. Follow up with customers regarding outstanding payments.

2. Coordinate collection priorities with the Finance Officer and Country Manager.

3. Provide customers with payment information when authorized.

4. Report delayed or problematic customer payments.

5. Never independently approve customer credit, credit limits, discounts, or payment extensions without management authorization.

6. Ensure all customer payments are properly documented and transferred through the approved company process.

F. Product Knowledge & Promotion

1. Maintain good knowledge of assigned products.

2. Understand product features, packaging, sizes, pricing, and approved product information.

3. Communicate product information accurately to customers.

4. Use only company-approved promotional materials and information.

5. Never make unauthorized medical, nutritional, or product claims.

6. Report customer questions requiring technical or medical clarification to the appropriate company representative.

5. Daily Field Activities

The Salesperson is expected to maintain regular field coverage according to the approved schedule.

Daily activities may include:

• Visiting pharmacies

• Visiting baby shops

• Visiting supermarkets

• Visiting grocery stores

• Visiting mother & baby stores

• Visiting wholesalers

• Visiting distributors

• Taking customer orders

• Following up on pending orders

• Developing new customers

• Following up on collections

• Monitoring competitor prices

• Checking product availability

• Collecting customer feedback

• Preparing the daily sales report

The Country Manager will establish specific daily/weekly visit and sales targets based on the assigned territory and business requirements.

6. Sales Reporting

The Salesperson must submit accurate and timely reports as required by management.

Daily Sales Report

The daily report should include:

• Date

• Assigned area/zone

• Customers visited

• Existing customers visited

• New customers visited

• Orders received

• Sales value

• Products ordered

• Pending orders

• Collections/follow-up

• Competitor prices

• Market observations

• Customer feedback

• Follow-up requirements

Weekly Sales Report

The weekly report should summarize:

• Total customer visits

• New customers developed

• Total orders

• Total sales

• Sales against target

• Outstanding orders

• Customer collections/follow-up

• New outlets opened

• Product availability

• Competitor information

• Key challenges

• Recommendations

7. Sales Target & Performance

The Salesperson will be assigned sales and customer-development targets by the Country Manager.

Targets may include:

• Monthly sales value

• Number of active customers

• Number of new customers

• Number of customer visits

• Number of new outlets

• Order generation

• Customer retention

• Collection follow-up

• Territory coverage

Targets may be adjusted according to market conditions, product availability, assigned territory, and company priorities.

8. Coordination With Other Departments

The Salesperson will coordinate closely with:

Country Manager

• Sales targets

• Customer development

• Market strategy

• Major customer relationships

• Sales performance

Finance Officer

• Customer accounts

• Credit status

• Outstanding receivables

• Collections

• Payment documentation

Warehouse Officer

• Product availability

• Stock status

• Order preparation

• Returns and damaged products

• Delivery coordination

Medical Representatives

Where relevant, the Salesperson may coordinate regarding pharmacies, healthcare-related outlets, market information, and product availability.

Delivery Team

• Customer orders

• Delivery schedules

• Delivery confirmation

• Returned or rejected products

9. Sales & Delivery Procedure

All sales must follow the company's approved procedure:

Customer Visit → Customer Order → Sales Confirmation → Invoice → Warehouse Picking → Stock Checking → Delivery → Customer Confirmation → Accounting Record

The Salesperson must not bypass the established sales, financial, warehouse, or delivery controls.

10. Customer Service

The Salesperson shall:

1. Treat all customers professionally and respectfully.

2. Respond to customer inquiries promptly.

3. Follow up on complaints and concerns.

4. Coordinate customer issues with the relevant department.

5. Maintain confidentiality of customer and company information.

6. Avoid making commitments that have not been approved by management.

7. Ensure customers receive accurate information regarding prices, availability, delivery, and approved product details.

Job requirements

11. Qualifications & Experience

Education

• Bachelor's degree in Business Administration, Marketing, Sales, Commerce, Economics, or a related field is preferred.

• Relevant diploma or equivalent practical experience may also be considered.

Experience

• Minimum 4 years of relevant experience in sales, marketing, business development, FMCG, pharmaceutical distribution, retail, or wholesale.

• Experience selling baby products, FMCG products, pharmaceutical products, or consumer goods will be an advantage.

• Experience working with pharmacies, supermarkets, wholesalers, or retail outlets is preferred

15. Authority & Limitations

The Salesperson may communicate approved company prices, products, offers, and terms to customers.

However, the Salesperson shall not independently:

• Approve customer credit.

• Change approved prices.

• Provide unauthorized discounts.

• Extend payment deadlines.

• Commit the company to contractual arrangements.

• Release warehouse stock.

• Receive or retain company funds outside approved procedures.

• Make unauthorized medical or nutritional claims.

Any exception must receive the required approval from the Country Manager or authorized management.

The Salesperson must maintain strict confidentiality regarding:

The Salesperson must comply with Shahana Pharma's policies, procedures, code of conduct, and applicable requirements.

17. Working Conditions

The position involves regular field work and customer visits. The Salesperson is expected to:

• Maintain regular territory coverage.

• Attend required meetings.

• Submit reports on time.

• Maintain professional conduct during customer visits.

• Coordinate with the Country Manager regarding field activities and challenges.
