The Shipping Officer is responsible for the proper receiving of Finished Goods (FG) from Production, arranging and controlling FG storage, coordinating loading and distribution activities, supervising loaders and supporting staff, maintaining accurate shipment records, and ensuring timely reporting to the Warehouse & Shipping In-Charge.
The position ensures that all FG movements are properly documented, accurately recorded, and carried out in accordance with company procedures.
Duties & responsibilities
A. Finished Goods Receiving
Receive Finished Goods from Production as per approved handover documents.
Verify the quantity, product type, batch, packaging condition, and pallet details against the Production handover documents.
Ensure physical FG received matches the supporting documents.
Report any shortage, excess, damage, or discrepancy immediately to the Warehouse & Shipping In-Charge and relevant department.
Ensure FG is received on a shift-wise basis as required by company procedures.
Maintain proper acknowledgement and documentation for each FG handover.
B. FG Storage and Stock Control
Arrange received FG in the designated warehouse/storage areas.
Ensure proper stacking and safe storage of products.
Maintain proper stock rotation using FIFO/FEFO principles, where applicable.
Ensure damaged, rejected, and hold stock is properly segregated and identified.
Monitor stock conditions and report any damage, leakage, or other issues.
Coordinate with the Warehouse team to maintain accurate physical and system stock balances.
C. Loading and Dispatch
Coordinate daily loading of FG according to approved sales and dispatch plans.
Ensure the correct products and quantities are loaded for each vehicle/route.
Verify loading documents before dispatch.
Coordinate with Sales, Warehouse, Transport, and Security for smooth dispatch operations.
Ensure loading is completed safely, accurately, and on time.
Minimize product damage during loading and handling.
Ensure vehicles are properly loaded and secured before departure.
D. Supervision of Staff and Loaders
Supervise loaders and other assigned Shipping staff.
Prepare and allocate daily duties according to operational requirements.
Monitor attendance, punctuality, discipline, and performance of loaders and support staff.
Ensure loaders follow proper handling and loading procedures.
Provide daily instructions and on-the-job guidance to staff.
Report staff performance, attendance, and disciplinary issues to the Warehouse & Shipping In-Charge.
Manage manpower during peak loading and dispatch periods.
E. Stock Receiving and Issuing Reports
Prepare and submit daily FG receiving and issuing reports to the Warehouse & Shipping In-Charge on time.
Maintain accurate records of:
FG received from Production
FG issued for shipment
Stock balance
Damaged stock
Short/excess stock
Returned stock
Pallet movements
Vehicle loading and dispatch
Ensure reports are complete, accurate, and submitted within the required timeline.
Database Entries as per departmental requirements
F. Documentation and System Updates
Ensure all FG movements are supported by the required documents.
Maintain proper records for receiving, issuing, loading, returns, and stock adjustments.
Coordinate with the Warehouse team to ensure timely system updates.
Ensure no unauthorized or undocumented FG movement takes place.
Support reconciliation of physical stock with system records.
G. Damage, Return and Discrepancy Management
Immediately report damaged FG, stock shortages, excess quantities, and loading discrepancies.
Maintain proper records of damaged and returned stock.
Coordinate with relevant departments regarding returned or rejected products.
Ensure damaged products are segregated from saleable stock.
Support investigations into stock discrepancies when required.
H. Safety and Housekeeping
Ensure safe handling and movement of FG.
Ensure proper use of pallets, layer sheets, forklifts, and other handling equipment.
Maintain cleanliness and safe working conditions in the Shipping and loading areas.
Ensure emergency routes and loading areas remain clear.
Report unsafe conditions immediately.
Job requirements
Education:
Bachelor's degree in Business Administration, or a related field.
Relevant professional training in warehouse/shipping operations is an advantage.
Experience & Skills:
Experience
Minimum 2–4 years of relevant experience in shipping, warehouse, logistics, distribution, or FMCG operations.
Experience in a beverage, manufacturing, or distribution company is preferred.
Previous experience supervising loaders or warehouse staff is an advantage.
