The Finance Officer is responsible for supporting and managing the day-to-day financial activities of the company and its projects. The position ensures that financial transactions are properly recorded, documented, monitored, and reported in accordance with company policies, applicable regulations, contractual requirements, and generally accepted accounting practices.
The Finance Officer will work closely with management, project teams, procurement, administration, and other relevant departments to ensure effective financial control, accurate reporting, proper utilization of funds, and timely processing of financial transactions.
· Manage and maintain accurate financial and accounting records.
· Record daily financial transactions, including income, expenditures, payments, receipts, advances, and settlements.
· Maintain cashbooks, ledgers, journals, and other financial records.
· Ensure that all transactions are properly coded, classified, and supported by appropriate documentation.
· Assist in maintaining an effective accounting and financial management system.
· Ensure proper filing and safeguarding of financial documents and records.
· Assist management in preparing annual, departmental, and project-specific budgets.
· Monitor actual expenditures against approved budgets.
· Prepare budget-versus-actual reports and identify significant variances.
· Support project managers in monitoring project costs and available budgets.
· Assist in preparing financial forecasts and cash-flow projections.
· Provide financial information to management to support planning and decision-making.
· Review payment requests, invoices, bills, purchase documents, and supporting documentation before processing payments.
· Prepare payment vouchers and ensure proper authorization before payment.
· Manage petty cash and ensure proper documentation and reconciliation.
· Monitor bank and cash balances.
· Prepare regular bank reconciliations.
· Process staff advances, travel advances, project advances, and their settlements.
· Ensure timely payment to suppliers, contractors, consultants, employees, and other parties.
· Maintain separate and accurate financial records for individual projects where required.
· Monitor project expenditures against approved budgets and contracts.
· Coordinate with project managers regarding project expenses, payment requirements, and financial status.
· Assist in preparing project financial reports, payment applications, invoices, and supporting documentation.
· Monitor outstanding receivables and payments due from clients.
· Maintain records of advances, retention amounts, guarantees, and other project-related financial obligations where applicable.
· Assist in preparing and processing monthly payroll.
· Maintain appropriate records of salaries, allowances, deductions, advances, and other employee-related payments.
· Coordinate with HR and Administration regarding attendance, payroll changes, and other financial matters.
· Ensure proper documentation and authorization of staff-related payments.
· Prepare periodic financial reports for management.
· Prepare monthly, quarterly, and annual financial summaries as required.
· Provide accurate financial information regarding company and project expenditures.
· Assist management in analyzing costs, revenues, cash flow, and financial performance.
· Ensure financial reports are prepared accurately and within required deadlines.
· Ensure compliance with company financial policies and procedures.
· Follow applicable tax, accounting, contractual, and regulatory requirements.
· Maintain proper internal financial controls.
· Verify that expenditures have appropriate approvals and supporting documents.
· Identify financial discrepancies and report them to management.
· Support measures to prevent errors, misuse of funds, and unauthorized expenditures.
· Maintain confidentiality of financial and commercial information.
· Maintain organized financial records and supporting documents for audit purposes.
· Assist internal and external auditors by providing required financial records and explanations.
· Follow up on audit findings and support implementation of corrective actions.
· Ensure invoices, receipts, contracts, payment vouchers, bank records, and other financial documents are properly archived.
· Coordinate with project, procurement, HR, administration, logistics, and management teams on financial matters.
· Support procurement processes by verifying budgets and financial documentation where required.
· Provide financial information and reports requested by authorized management.
· Participate in relevant project and management meetings when required.
· Perform other finance-related duties assigned by the supervisor or management.
· Bachelor’s degree in Finance, Accounting, Business Administration, Economics, or another relevant field.
· Professional accounting or finance certification is an advantage.
· Good knowledge of accounting principles, financial management, budgeting, and financial reporting.
· Familiarity with applicable taxation and financial regulations is desirable.
· Ability to use accounting software and financial management systems.
· Strong proficiency in Microsoft Excel and other Microsoft Office applications.
· Minimum 3–5 years of relevant professional experience in finance, accounting, or financial management.
· Experience with project-based, engineering, construction, consulting, energy, or similar organizations is an advantage.
· Experience in budgeting, payroll, bank reconciliation, project cost control, and financial reporting is preferred.
· Experience working with contractors, suppliers, clients, or project teams is desirable.
· Strong numerical and analytical skills.
